Examples of Materials Collected by the Dana Hall Archives 

  • Annual reports, correspondence, reports, meeting minutes and subject files from governing bodies and administrative and academic units of the School, such as: Board of Trustees, Head of School, Deans of Faculty and Students, and Department Heads
  • Accreditation reports
  • Annual budget reports
  • Programs, speeches and memorabilia from traditions, convocations, dedications and other special events  
  • Audio-visual materials documenting events, activities, community members and the campus. Examples include photographs, films, audio recordings, videotapes, DVDs, and digital files 
  • Biographical information of faculty, administrators, and staff 
  • Correspondence, including letters and emails of enduring historic value, to and from members of the community, offices, and departments 
  • Collections donated by Dana Hall alumnae or relatives (scrapbooks, letters, diaries, photographs, clothing, jewelry, etc.) related to an individual’s years affiliated with the School
  • Minutes, memoranda, and reports from academic and administrative committees, departments, offices, faculty and staff 
  • Oral interviews
  • Curriculum-related materials from faculty, administrators, or staff, including records of classroom activities (e.g. course syllabi) 
  • Publications produced by the School. Examples include: catalogs, bulletins, yearbooks, student newspapers, student/faculty directories, handbooks, literary magazines, and newsletters 
  • Publications produced by faculty and staff members during their tenure at Dana Hall. Examples include: published books, musical scores and journal articles
  • Records and files of student organizations and clubs 
  • Summary statistical information

Examples of Materials Not Collected by the Dana Hall Archives 

  • Draft copies of plans or reports
  • Course evaluations or analysis with specific mention of names of faculty or students  
  • Financial transaction documents. These include: budget requests, cancelled checks, invoices, ledger reports; petty cash vouchers, purchase orders, receipts and any non-final budget report 
  • Unneeded multiple copies of any publication, program, or brochure 
  • Personnel files on faculty, staff, or students; any files containing confidential and personal information (e.g. resumes received in application for positions and any document containing salary information attached to individual names) 
  • Disciplinary records
  • Raw statistical data
  • Student grade reports, test scores and attendance records with specific mention of names of students  
  • Student academic papers
  • Materials compromised by mold, water damage, insect infestation or other contaminants
  • Materials unrelated to Dana Hall, its students, alumnae, faculty, staff and history
